RESERVING EQUIPMENT:

Equipment will be reserved upon receipt of a signed contract and a deposit of 50% of total charges. Deposits are NON-REFUNDABLE and may be paid by cash, check or credit card. Client must provide PANACHE TENT + EVENT with a final count 10 days prior to the event at which time a final invoice with balance due will be provided.

 

THE RENTAL OF EQUIPMENT IS TO THE CLIENT INDICATED FOR THE EQUIPMENT ITEMIZED ON THE CUSTOMERS INVOICE AND FOR THE EVENT AND SPECIFIED DATE INDICATED ON THE INVOICE. EQUIPMENT CANNOT BE SUB-RENTED OR USED BY OTHERS, ONLY BY THE CLIENT LISTED ON THE CONTRACT.

 

CREDIT CARD REQUIREMENTS:

A valid credit card is required for all rentals. All information must be included and a valid signature on the Rental Agreement. Charges billed to credit cards will consist of balance due on contract, missing or damaged items and charges left unpaid after 10 days of event. A detailed invoice of

these charges and copy of the receipt will be mailed after the event. Clients must authorize

PANACHE TENT + EVENT to charge a credit card and agree not to dispute such charges.

 

MISSING OR DAMAGED ITEMS:

Items not returned within 5 days after event are considered missing. Missing or damaged items will be charged to the credit card at the replacement cost. A detailed invoice of these items and charges will be provided to the client.

 

FINAL PAYMENT:

Final payment is due 10 days prior to the event, and will be made by cash, check or credit card.

No orders will be scheduled for delivery until full payment is received. A $25.00 charge will be

added to your account each time the order is changed within 24 hours of your scheduled delivery.

If a balance due is unpaid past 30 days, client agrees to pay an interest charge of 1.5% per month

on the outstanding balance. Client also agrees that if suit is filed in order to effectuate payment to PANACHE TENT + EVENT, for services rendered, the client will be held responsible for ALL collection costs and attorneys fees. The client also agrees to venue of STATE COURT in GULF COUNTY, FLORIDA. Client waives all rights to trial by jury.

 

SITE PREPARATION:

Please be sure your site is ready – lawns mowed, furniture moved, vehicles moved, etc. before the Panache delivery crew is scheduled to arrive. If the site is not ready or accessible when the crew arrives, the client will incur an additional fee and/or equipment may not be delivered.

 

Client agrees to inform PANACHE TENT + EVENT in writing or by fax to main office at least 7 days prior to event, of the existence and location of any underground utilities (i.e. phone lines, cable lines, sprinkler systems, water lines, gas lines, electric lines, septic system, etc.) or conditions that may interfere with the ability to stake and/or anchor equipment. Client will assume responsibility for all damages to underground utilities in absence of notice or incorrect location of utilities. Client is encouraged to call 1-800-432-4770, Florida’s One Call Utilities locating service. This service is free. Please allow 48 hours for location to be performed. PANACHE TENT + EVENT WILL NOT BE LIABLE FOR ANY DAMAGES OR INJURY AT EVENT.

 

DELIVERY & SET UP:

PANACHE TENT & EVENT will strive to accommodate client delivery requests. However, delays and changes in the schedule are sometimes unavoidable. We try to communicate any scheduling changes as they occur. All items will be delivered and picked up at a designated location. The client must be available to count all items upon delivery and pickup – otherwise, PANACHE TENT + EVENT counts will be considered accurate. Items will be delivered to nearest drivable point and will be picked up at that SAME location on day of pickup to avoid additional charges. If delivery to another location is needed, Delivery and Set Up should be scheduled and paid for in advance.

 

CLEAN UP & PREPARATION FOR PICKUP:

All floral arrangements, trash, and decorations of any kind should be removed from tent or other rental equipment before scheduled pickup time. There will be an additional charge for any items that PANACHE TENT + EVENT has to remove. All chairs and tables should be stacked in designated location as delivered. All dishes, glassware, flatware, and any other catering items, should be returned to proper racks or containers rinsed and dried and assembled at designated location for pickup. Any catering item that is returned dirty (not rinsed) will incur an additional fee of $5.00 per item. Linens should be food and particle free and shaken out before being placed in laundry bags. LINENS MUST BE DRY BEFORE PACKAGING IN LAUNDRY BAGS. Linens that are returned with burns, wax, holes, tears, permanently stained, wet or damp with mildew, or otherwise unusable will be billed at replacement cost.

 

WEATHER:

Tents are temporary structures designed to handle most normal weather conditions; however,

there may be situations that become unsafe such as high winds or lightning. Evacuation of tents is recommended in these or other unsafe conditions. PANACHE TENT + EVENT RESERVES THE RIGHT TO CANCEL RENTAL AGREEMENT, IF, IN ITS SOLE DISCRETION, THE WEATHER IS DEEMED TO BE UNSAFE OR POTENTIALLY DAMAGING TO EQUIPMENT. PANACHE is a regional rental company, adverse weather conditions in your area or venue does not necessarily mean there is adverse weather in another area. Therefore, rental items reserved by you for use on the date contracted are NON-REFUNDABLE and NON-CANCELABLE. It is the responsibility of the customer to have a second or back up venue in case of inclement weather. Wedding and Event insurance is available through third party insurers that will protect your investment on your event date.

 

SUMMARY:

RESPONSIBILITY OF THE EQUIPMENT REMAINS WITH THE CLIENT FROM THE TIME OF DELIVERY TO

THE TIME OF PICKUP. Please be sure all equipment is secured when not in use and protected from weather. All collection fees, attorney fees, court costs or any expense involved in the collection of rental charges will be the client’s responsibility. Be sure all equipment is returned according to these TERMS & CONDITIONS. The client is solely responsible for any additional charges incurred as a result of failure to meet these conditions.
